The client is an enterprise insurance and employee benefits provider serving employers through group benefits, enrollment, and benefits administration services. Their implementation teams manage complex employer benefit setups that require coordination across sales, enrollment systems, client-provided census data, contracts, and internal configuration rules.

The client operates in a regulated environment and handles sensitive employee data — including personally identifiable information and census records. Any automation had to be controlled, auditable, and human-supervised at every high-risk decision point.

Challenge

The client’s implementation specialists prepared new employer cases in BenSelect by manually pulling case data from Salesforce, reviewing attached census files, contracts, implementation notes, and plan documents, and then configuring the case by hand. Every input had to be validated, every eligibility rule interpreted, and every missing field tracked down before setup could proceed.

The process was time-consuming and exposed to compounding rework risk:

Solution We Delivered

We delivered an MVP of an intelligent BenSelect case setup assistant that automates employer benefit case preparation from Salesforce to draft.

Salesforce Data Retrieval and Document Parsing

The assistant retrieves the full case record from Salesforce — including census files, contracts, implementation notes, and plan documents — and converts them into a structured setup model ready for BenSelect configuration.

Census Validation and Conflict Detection

Before any BenSelect interaction, the assistant validates the census data: identifying missing fields, flagging duplicate records, and surfacing data quality issues that would otherwise emerge mid-setup. Where information is missing or conflicting, the assistant creates a review item and routes it to the implementation specialist for resolution.

Hybrid BenSelect Integration

For structured BenSelect operations — case lookup, draft creation, census import, and validation — the assistant uses the BenSelect API directly. For admin UI steps not covered by the API, including product configuration, eligibility settings, and evidence capture, Playwright automation handles the interaction. The combination produces a complete draft without requiring manual data entry.

Draft Case Preparation Under Human Approval

The assistant creates or updates the employer draft case in BenSelect, imports validated census data, maps eligibility groups, prepares the selected benefit product configuration, and saves the case as a draft. Final publishing remains under the implementation specialist’s control. No configuration is committed without human sign-off.

Salesforce Writebacks

After setup, the assistant writes status updates, validation results, and outstanding review tasks back to Salesforce — giving the implementation team a live view of case progress and a clear queue of items requiring their input.
